The Position:

Opportunity for an experienced IT leader in a new position of Head of School (Information Systems) to provide academic leadership, assist with the implementation of strategic plans and ensure that courses of study are delivered effectively to ensure a positive student experience.

You will have responsibility for managing all academic areas of the School of Information Systems. Reporting to the Dean, the role will be to manage all academic staff (full-time, part-time and sessional) in the School of Information Systems and ensure all relevant academic governance activities are in place. The Head of School will be considered a “champion” for scholarly activity and be expected to play an active role in external academic and professional activities to enhance the reputation of the College.

The Head of School will be expected to play a significant role in ensuring compliance with the HESF2021 and the relevant ESOS National Code standards whilst ensuring that all courses within the School are contemporary, modern and innovative in preparing students to be equipped learners.

The position will work closely with the Dean to ensure a cohesive approach is applied across all academic functions of the School of Information Systems. The role will require a teaching component.

  • Lead the development of  comprehensive and pedagogically sound learning material
  • Lead the evaluation of program and course curricula
  • Provide leadership, promoting an accountable, collegial, student-centred culture
  • Take ownership of the relevant components of the OGSM, T&L Plan and Strategic Plan and embed goals and measures within performance goals for academic staff

This role will require the incumbent to perform the duties in the physical office unless otherwise agreed with the Dean and/or CEO. At the direction of the company, this role may from time to time be required to work remotely (away from the physical office location). Student experience

About You:

Qualifications, technical skills, and experience required for this role include:

  • A bachelor’s degree with two years experience in the tertiary education sector in an Admissions, Student Services or Academic Services role
  • Possess good written and verbal communication skills
  • Familiarity with the use of technical reference material such as NOOSR and with the organisations that provide guidelines for the assessment of overseas qualifications would be preferred
  • Broad knowledge of Australian educational systems and frameworks, visa regulations, ESOS and the National Code
  • Strong Excel skills to be able to provide insights and analysis reporting

The Position:

The overall purpose of the Regional Recruitment Manager position is to increase the volume, quality and diversity of students in line with budgets for Acsenda School of Management (ASM), Arbutus College (AC), and other partner schools in Canada.

 

Key Responsibilities & Accountabilities:

Agent Relationship Management

  • Maintain excellent relationships with current EduCo recruitment agents
  • Provide ongoing training, product information and relevant EduCo promotions for agents
  • Research, analyse and recommend new agency agreements for signing
  • Monitor agent performance and student feedback and report to EduCo to assist product and service development
  • Provide agents with training, education and ongoing marketing support for new products and destinations launched by EduCo.

Recruitment and Promotion

  • Research and prepare annual Regional Recruitment Plans and expenditure budgets
  • Organise EduCo participation in agent, government, feeder events and EduCo-focused promotional events including seminars, interview sessions and exhibitions
  • Negotiate investment in recruitment and marketing activities in line with marketing support guidelines
  • Attend and represent EduCo at industry networking functions
  • Research and report on the effectiveness of marketing and promotional campaigns (return on investment).

Client Liason

  • Pro-active and responsive communication with clients (agents, parents, feeders, and students) regularly through the recruitment cycle to maximise conversion rates from enquiry, application, acceptance, and commencement
  • Run reports on outstanding applications and contact students, feeders and agents via email, phone to progress the sale and report on follow-up actions implemented
  • Maintain relationships with relevant Government organisations including embassies, trade commissions and visa officers.

Feeder Institution Relationship Management

  • Research and identify institutions with the potential to supply students into EduCo institutions in Canada
  • Initiate and maintain active relationships with feeders
  • Initiate recruitment programs such as scholarship arrangements, articulation agreements and ongoing promotional activities with feeders.

Research, Reporting, Administrative and Compliance

  • Gather feedback on market conditions including competitors, industry trends and opportunities for EduCo to inform marketing strategy and increase recruitment numbers
  • Manage the regional marketing budget and accurately report expenditure
  • Ensure agents comply with all regulatory requirements and have access to appropriate information for them to maintain compliance
  • Ensure all marketing and promotional activities conducted by EduCo are ethical and comply with all relevant local, international, and company-wide legislation/policy.

As a part of the Enrolment Services team, the Admissions Officer is responsible for the assessment, evaluation and processing of international and domestic student applications to ensure compliance with all ASM admissions policies and procedures. The officer provides information and advice to support prospective students and agents on all aspects of the admissions process including the requirements, policies, and procedures. Duties include entering data into appropriate student information management systems, evaluation and assessment of student documents, issuance of letters of offer and admission, tracking all activities and points of completion in the application process and generating various reports required by senior management, marketing and recruitment, and the Registrar. The Admissions officer must be fully knowledgeable about ASM admission requirements, the documentation required for each application, and be familiar with assessing documents from different educational systems. The Admissions officer tracks the full cycle for admission in ASM from application received to confirmation of students arriving. In addition to providing excellent customer service support to applicants to our programs, and assisting the recruitment staff by ensuring completion of applications.

 

Key Responsibilities & Accountabilities:

  • Receive, review and evaluate all applications for admission
  • Assess the admission requirements for a student application in accordance with the ASM admission standards
  • Assess students for ASM grants and scholarships
  • Provides admissions advising to prospective students, prospects, applicants, agents and other stakeholders
  • Evaluate documents to determine eligibility for transfer credit, and enter data on courses requested for transfer credit into an evaluation system and provide recommendations and reports to the Registrar for approval

  • Assists the Assistant Registrar, Associate Registrar and Registrar with tasks relating to immigration, study permit success rates and study permit renewals. Track the progress of applicants from the point of application, through to the visa application and approval process, and submission of all documentation required at each stage of the process
  • Enter accurate and daily updates on the progress of each application in the CRM and student information management systems and generate reports as required including conversion rates from application to registration
  • Follow through with applicants and agents communicating regularly to achieve completion of applications within timelines established
  • Prepare Letters of Offer (LOO) for the Registrar to approve according to standard templates and requirements for admission
  • Assist with applicant conversion processes through follow-up with applicants to acquire all documentation related to acceptance of offer and conditions for admission and tracking applicant progress through the admissions process
  • Confirm receipt of tuition and other fees and prepare Letter of Admission according to the template for processing and approval by the Associate Registrar – Admissions.
  • Maintains up-to-date knowledge of ASM programs, admissions policies and procedures; international educational systems and admissions standards and credential evaluation, and immigration requirements
  • Keep up to date on international student credentials, transcripts, English proficiency testing requirements, credential evaluation services and other matters related to admission documentation and processes
  • Coordinate and respond to inquiries about the admission process or status of applications – from the recruitment team, agents and students, or ASM management
  • Assist with Pre-orientation, Orientation, Registration and other activities to promote student retention
  • Preparation of reports as required
  • Assisting with other areas of Enrolment Services operations as required
  • Provide recommendations about the workflow and process improvements regarding applications to admissions.

 

About You:

To be successful in this role you will have the following Qualifications, Technical skills and Experience:

  • A bachelor-level degree
  • Ability to speak and write a second language related source countries of our applicants is desirable
  • At least two years experience in a related administrative and customer service position; experience in student admissions, services or administration in a post-secondary degree-granting institution is preferred
  • Knowledge of application and documentation requirements (e.g., study permits) is an asset
  • Good organisation and time management skills; consistently meets deadlines and performance targets
  • Excellent written and verbal communication skills including demonstrated ability to write clearly and persuasively
  • Proven ability to maintain accurate records and produce accurate reports; attention to detail
  • Knowledge and experience working with a CRM or similar information, records and reporting system
  • strong level of proficiency with MS Office and Excel
  • An empathy with and ability to communicate effectively with international students and agents from diverse cultural backgrounds
  • Previous experience demonstrates cooperation and collaboration with others, sound judgement
  • Initiative in solving problems and recommending improvements to work processes.

 

The expected work hours are:

Tuesday to Thursday – 1 pm-9 pm, Friday 9 am-5 pm & Saturday 8 am-4 pm

The Position:

The primary purpose of the Student Payments Officer role is monitoring, processing, and receiving payments for student accounts and is part of the Collections team based in Australia and Canada.

The position has oversight of student payment processes including supporting the review of current processes, liaising with external credit agencies, and informing and participating in student payment-related decisions.

The position will provide insights into the quality of the student experience by providing exceptional customer service and support to applicants and students through the fee payment processes.

 

Key Responsibilities & Accountabilities:

  • Support the processing of accounts and incoming payments in compliance with student payment policies and operating procedures
  • Maintaining accurate debt collection client lists with external debt collection agencies
  • Ensure that accounts are monitored to identify outstanding debts
  • Using various communication channels, engage with students to resolve their overdue payments and provide excellence in customer service and student experience
  • Coordinate actions to encourage timely debt payments
  • Liaise with campus leadership/administration for escalated case management to ensure students are supported within the student experience culture of the institution
  • Ensure that student management system records are current
  • Ensure that discrepancies are verified and resolve students’ billing issues
  • Establish payment arrangements with students within authorised policies and procedures
  • Assist with face-to-face student finance when required
  • Respond to inbound student finance inquiries
  • Coordinate receipting via pay-way and daily banking
  • Coordinate with finance to reconcile outstanding unidentified payments
  • Ability to achieve set KPIs and targets
  • Reporting as required.

  • Bachelor’s degree level (Preferred)
  • Previous relevant work experience and knowledge within payments and collections
  • Knowledge of regulatory guidelines and processes
  • Knowledge of billing procedures and payment processes
  • Knowledge of educational systems and frameworks and visa regulations
  • Highly developed interpersonal and written communication skills to effectively communicate with staff, agents and internal teams and the capacity to work productively with a wide range of internal and external stakeholders

The Position:

The primary purpose of the Junior Accountant role is to ensure accurate student records are maintained and to complete the AP, AR, and payroll duties for EduCo Global’s growing businesses in North America.

Based in Arbutus College in Vancouver, this position will provide day-to-day transactional support for our North American colleges as well as assist the North America Finance Manager with month-end and year-end closing and reporting.

 

Key Responsibilities & Accountabilities:

Student Inquiry and Student Database Maintenance

  • Provide students with services within a reasonable timeframe for students’ inquiries
  • Adjusting student records in our student database to ensure data is up to date in accordance with student contracts and student advising forms.

AP

  • Process invoices and prepare accounts payable for approval
  • Process student refund requests according to our policy and reconcile the student’s financial record
  • Process education agent commission requests according to our policy and reconcile the education agent’s financial record in our student data worksheets and our accounting program.
  • Weekly Agents commission report and KPI report.

AR

  • Ensure timely invoicing per student contract
  • Entering student payment plans
  • Run collections reports in coordination with the Admission and Student Fees Officer and school staff to ensure all students have paid prior to studying and according to Payment Plan due dates
  • Record receipts in our student database and accounting system.

Bank Reconciliations

  • Complete weekly bank reconciliations
  • Prepare daily cash flow reports
  • Assist with month-end and year-end closing and reporting:
  • Ensure timely responses to month-end and year-end queries
  • Report accrual report for invoices not received or posted
  • Control ledger and sub-ledger reconciliations.

 

About You:

To be successful in this role you will have the following Qualifications, Technical skills and Experience:

Diploma or Degree in Accounting

  • 2 years of accounting experience including AP and AR
  • 2 years of experience using an accounting program, preferably Sage ERP
  • Proficient in Microsoft Office programs with advanced skills in Excel.
